ADMINISTRATIVE ASSISTANT

BARRANQUILLA, Colombia [CO]

  We are seeking a highly organized and proactive Administrative Assistant to support our fast-paced call center team. The ideal candidate will play a key role in coordinating day-to-day operations, including managing schedules, coordinating travel arrangements, liaising with external providers, and ensuring smooth administrative processes. This role requires excellent communication, multitasking abilities, and attention to detail.

Responsibilities

  • Travel Coordination: Organize employee business trips, including flights, accommodations, and transportation, ensuring cost-effectiveness.  
  • Vendor Management: Serve as the main contact for external vendors, negotiating contracts and managing orders and payments.  
  • Calendar Management: Maintain executives' calendars, scheduling meetings and coordinating both internal and external appointments.  
  • Administrative Support: Handle daily tasks like filing, answering phones, and preparing reports and presentations.
  • Team Support: Assist the call center team with projects, manage office supplies, and coordinate events and training.  
  • Expense Tracking: Monitor and report departmental expenses, ensuring budget compliance for trips and vendor contracts.  

Must Have

  • Proven experience as an Administrative Assistant, preferably in a call center or similar fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and calendar management tools.
  • Perfect written English
  • Highly creative and autonomous
  • Valid work permit for Belgium

Nice to have

  • Experience with call center operations.
  • Familiarity with travel management platforms and vendor negotiation processes
